Executive Assistant & Special Projects Coordinator

Spinning Babies® is looking for an experienced, reliable and self-motivated executive assistant and project coordinator. This assistant will work directly with the Integrator performing a variety of administrative duties and project management. The ideal candidate is highly capable, possesses a wide set of skills, is confident in using and learning many different computer and web based software, can prioritize a complex workload that changes frequently, and is known for exceptional organizational and communication skills.

Duties & Responsibilities:

  • Administrative Support
    • Gather and organize needed materials for projects
    • Schedule meetings
    • Assist to develop and uphold timelines for advancing projects
    • Disseminate information and materials to trainers, contractors and staff
    • Receive and respond to Spinning Babies Workshop requests
    • Reply to daily correspondences
    • Edit written materials
  • Special Projects Coordination and Support
    • Research and report for projects in development
    • Communicate with project and event coordinators
    • Write agreements for independent contractors
  • Online Course Support
    • Gather feedback, summarize and troubleshoot
    • Assist in gathering and organizing materials for new courses
  • WordPress Website
    • Perform updates as requested
    • Create landing pages and update current pages
    • Troubleshoot errors
  • Meeting Participation
    • Attend and contribute to project discussion meetings online and in person
    • Organizing meeting schedules with Trainers and Consultants

Community & Customer Experience Administrator

Spinning Babies® is looking for an experienced multitasker, rewarded by a job well done to manage and maintain a well-functioning CRM, provide support to the office team and customers at all levels. Our ideal candidate will thrive in a fast-paced office environment while keeping a cool head and good humor. Service-oriented, the Customer Experience Administrator will work to improve operational workflow.

Duties/ Responsibilities:

  • CRM Management
    • Build and regulate campaigns in Ontraport
    • Ensure data is being imported consistently from sales and registration software
    • Maintain accurate records of all contacts
  • Administrative support for
    • Delivery of digital products
    • Workshop registration process & follow-up
    • Advanced workshops and training programs
  • Reporting
    • Identify critical data, summarize, and analyze
    • Create management-level reports on the effectiveness, impact, and reach of Spinning Babies® educational programs
  • Customer Service
    • Respond to customer service inquiries
    • Troubleshoot technical issues
