Position: Executive Assistant

Spinning Babies is looking for an experienced, reliable and self-motivated executive assistant.  This assistant will work directly with the Managing Director performing a variety of administrative duties to support the leadership team, independent contractors, employees, trainers and ongoing special projects. The ideal candidate is highly capable, possesses a wide set of skills, is confident in using and learning many different computer and web based software, can prioritize a complex workload that changes frequently, and is known for exceptional organizational and communication skills.  

 

Duties & Responsibilities:  

  • Administrative Support
    • Gather and organize needed materials for projects
    • Schedule meetings
    • Assist to develop and uphold timelines for advancing projects
    • Disseminate information and materials to trainers, contractors and staff
    • Receive and respond to Spinning Babies Workshop requests
    • Reply to daily correspondences
    • Edit written materials
  • Special Projects Coordination and Support
    • Research & Report potential solutions to issues
    • Communicate with project and event coordinators
    • Write agreements for independent contractors
    • Online Course Support
      • Gather feedback, summarize and troubleshoot
      • Assist in gathering and organizing materials for new courses
  • WordPress Website
    • Perform updates as requested
    • Create landing pages and update current pages
    • Troubleshoot errors
  • Meeting Participation
    • Attend and contribute to project discussion meetings online and in person
    • Organizing meeting schedules with Trainers and Consultants

Required Skills:

  • Google Suite (drive, sheets, forms, calendar, mail, etc.)
  • WordPress
  • Comfort around childbirth including photographs, video and daily discussion of midwifery-level detail of pregnancy and the birth process.
  • Must own laptop

Availability:

  • Schedule varies. 4-5 days/wk, 6-8 hrs/day
  • Attend and contribute to weekly Monday morning meetings
  • Daily response to email and phone messages M-F

This is a position in the Minneapolis/St. Paul, MN area. Office located in Minneapolis, MN.

Position: Assistant to Gail Tully

Duties & Responsibilities:

  • Project Calendar Management
  • Follow up with daily reminders
  • Coordinate communication on multiple events across multiple time zones 
  • Project Organization & Execution
  • Work with teams on projects and help Gail stay current
  • Travel to events is optional 
  • Tracking, Summary & Reporting
  • Monday and Friday meetings on zoom with the team, in-person follow up with Gail
  • Listen for and track actionable steps 
  • Extract tasks and next steps from meeting conversations
  • Discuss the tracking, priorities, and creative solutions with Gail’s projects 
  • Contact and organize meetings with people involved with projects
  • Email Coordination
  • Prioritize incoming email, categorize and manage flow to Gail
  • Send template emails on limited situations
  • Organize contacts and monitor follow up conversations

Availability:
30-40 hours/wk, in-person and remote, requires up-to-date Apple laptop 
Attend & provide reports for weekly Monday meetings
Timely response to email, text, WhatsApp occasionally nights and weekends
Compensation:
Independent Contractor fees, hourly rate, paid biweekly 
MUST LIVE in Minneapolis/St. Paul, MN area
